Directory and Profiles

How Does the Directory Work?
The directory page (fgcu.edu/directory/), comes from Workday and is updated every 24 hours. The standard information that comes from Workday includes an individual's name, job title, department, office/work space, email and phone number.
The data coming from Workday must be applied in Workday through an approval process, therefore the directory fields cannot be updated through the Ä¢¹½TV website.
Incorrect Information in Directory
Standard Information:
Job aids are found on Ä¢¹½TV's Workday Training page at: /workday/training
- changes are made by the individual in Workday using the 'Changing Your Name' job aid.
- Job title changes need to be made by the department's business manager using the 'Change Business Title' process. (No job aid available; reach out to your business manager.)
- Work space changes are made by the individual in Workday using the 'Change My Work Space' job aid.
- Email and phone are maintained by ITS.

Profile Information:
- Biography, Education, Expertise, Research, etc. can be updated in the CMS platform on a profile page and those details will only appear there, not within the searchable directory listing page.
- Degrees can be added to the profile page and will only appear there. Degrees will not display on directory page or college directory pages at this time.
- CV/Resumes can be added to profile pages using a PDF or document provided by the individual and only appear there.
- Images can be added to profile pages using a jpg file which should be resized to 280x280. The file should be named the faculty/staff Ä¢¹½TV email prefix. Ex. patsmith.jpg

Who Maintains the Profile Information?
New and Existing Profile Pages:
- As a web editor, profile pages can be created in the directory folder using a profile page template.
- Non web editors must submit a directory update form that will get sent to their department's web editor using fgcu.edu/directoryupdates.
Creating a Faculty/Staff Profile Page
Inside of the directory folder, click "+New" 'Profile Page Dynamic'.
The filename must be named the individual's email prefix (without @fgcu.edu). Ex. patsmith
All other relevant information can be added in the page's setup, other than the biography. Once all of the information is added, click "Create".
The page will generate and a content region will be available for adding the biography. To edit the other profile information from the setup, click "Multiedit" at the top.
When completed, save and publish the page to webdev, followed by a publish to production if the webdev page appears as intended.
SEO for Profile Pages
Titles and meta descriptions have been removed from profile pages and are now automatically generated based on Workday information. This will speed up the process of creating multiple profile pages without worrying about the 'missing meta descritpion' error.
The titles will come in as: {First name} {Last name} Profile
Descriptions will come in as: {Full name} is a Ä¢¹½TV {Job title} in the Department of {Department}

Adding a Photo to a Faculty/Staff in the Directory
Inside of the directory folder, navigate to the '' folder. Click "UPLOAD" in the top-right of the CMS and upload a 280x280 jpg of the individual. The file name must be their email without @fgcu. Ex. patsmith.jpg
The image should be under 50KB or less. An appropriate file size is 15KB. This is important for Department Directory pages to run smoothly.
An image can be uploaded without a profile being needed and will display when using the directory snippet within department pages. After the image upload is completed, publish the image to webdev and production.
Note: Once the image is published to production, that image will be cached on the server to speed up returning visitor's page load times on pages.
After replacing an existing directory image with a new image, a Marketing Request can be made to purge the cache so the new photo will display in place of the old photo.
Adding Faculty/Staff to a Department's Directory Page
Regardless of if a profile is created or not, all faculty and staff can be included on a department's directory page using the 'Contact | Directory | Dynamic' snippet.
Individuals who do have a profile page will have a link attached to their name, so their name text will be blue instead of black text.
Individuals without an image will have an avatar matching their assigned gender from Workday.
Note: A profile page is not needed for an image to be added to the designated Faculty/Staff.
